Client Documents and Service Data provided to us in connection with our services may, in some cases, include sensitive categories of information, such as government identifiers, financial account details, or health-related information. Where we process sensitive information on behalf of a client, we do so only as necessary to provide the requested services, under appropriate confidentiality and security safeguards, and in accordance with our client agreement and applicable law. We ask that clients not provide sensitive information unless it is required for the services.
1.6 Healthcare / HIPAA-Related Information
Some clients may engage us to process information that includes protected health information (“PHI”) governed by the Health Insurance Portability and Accountability Act (“HIPAA”). Where our services involve PHI on behalf of a covered entity or business associate, we will enter into a Business Associate Agreement (“BAA”) with the client and will process PHI only as permitted by that BAA and applicable law. Except as set out in an applicable BAA, this Site is not intended for the submission of PHI, and we ask that clients not transmit PHI to us outside of an agreed, secured process. Nothing in this Privacy Notice is a representation that the Site itself is HIPAA-compliant.

We also develop and operate our own in-house AI module, which we may train and improve over time to enhance the accuracy and efficiency of our services. These tools operate within our own controlled environment and under human oversight.
We do not use third-party or commercial generative AI services to process Client Documents or Service Data, and we do not use this information to train publicly available or third-party AI models. Where we use Client Documents or Service Data to develop, train, or improve our own AI module, we do so only as permitted by our agreement with the relevant client and under appropriate confidentiality and security safeguards. We do not sell this information.
3. Third-Party Services and Analytics
3.1 Google Analytics
We use Google Analytics, a web analytics service provided by Google LLC, to collect and analyze data about how visitors use the Site. Google Analytics uses cookies to collect information such as how often users visit the Site, which pages they visit, and which other sites they visited prior to arriving. The data collected is used solely to improve the Site and our services. Google Analytics collects only the IP address assigned to you on the date you visit the Site, rather than your name or other identifying information.

5.1 Retention of Client Documents and Service Data
Client Documents and Service Data are retained for the duration of our engagement with the relevant client and thereafter only as required to comply with our contractual obligations, applicable legal or regulatory requirements, or legitimate business needs such as backup and recovery. When this information is no longer required, we securely delete, return, or anonymize it in accordance with our agreement with the client.
